Privacy Notice
Effective Date: August 7, 2026
Last Updated: August 7, 2026
This notice describes the implemented data practices of D&S Portfolio Group Inc. for PRAEVIS™ and PRAEVIS AI.
Temporary Working Incident Session
PRAEVIS AI is designed around a temporary working incident session. The current public demonstration keeps incident content in active browser memory and uses controlled sample information. The current private-beta gate separately maintains account, authorization, entitlement and registered-device metadata. Permanent report or evidence storage is not created by default.
Temporary incident content may include, when the user chooses the applicable functions: reporter and contact information; date, time, incident location and precise location; vehicle, plate, VIN, unit, tractor and trailer information; insurance, police and witness information; photographs and uploaded evidence; audio and speech transcripts; reporter narratives; injury or illness information; cargo, property and environmental information; and report exports. The application also processes browser/device details needed for display and permission handling.
Account and beta-administration records may include beta request details, organization or fleet information, identity account information, authorization status, role, entitlement and expiration data, EULA version and acceptance timestamp, registered-device identifiers, user-agent details, and technical or security logs required to operate and protect access.
Purposes and AI Processing
Information is processed to build a temporary incident report; provide speech transcription, Truth Mode narrative preparation, Photo-to-Fill, evidence organization, completeness checking, preliminary damage triage and illustrative reconstruction; administer the beta; authenticate and authorize users; secure and support the service; and create user-directed exports.
AI may process submitted information to provide supported PRAEVIS AI functions. AI-prepared information remains provisional where the product requires human confirmation. AI does the work; people confirm the facts.
Camera, Microphone and Location
Camera permission is requested when a user chooses camera functionality. Microphone permission is requested when a user chooses speech functionality. Precise-location permission is requested only when a user enables a location-supported function. Denial does not authorize hidden collection; the workflow provides available manual or demo-safe alternatives.
Sensitive Information
PRAEVIS AI may process precise location and injury or health-related information when a user chooses to provide it. Contextual notices appear at the relevant permission or entry point. Users should provide only information appropriate for the authorized reporting purpose.
Service Providers and Sharing
Netlify services are used to host the site, operate serverless functions, process beta forms, provide identity and authorization, and maintain the application database. Browser platform services process camera, microphone and location permissions on the user’s device. No additional AI vendor is currently invoked by the public demo; its supported responses use controlled sample logic.
Authorized fleet administrators, safety, claims, risk reviewers or other specifically authorized organization roles may access incident information only where an approved private-beta implementation and role permit it. One customer’s information must not be exposed to another customer or fleet.
Users may download, print or otherwise share reports. PRAEVIS AI does not currently submit reports automatically to police, insurance carriers, employers, government agencies or attorneys.
Retention and Deletion
Temporary incident content remains in the active working session until the page is refreshed, the demo is restarted, or the workflow’s export-and-delete completion action clears the in-memory state. Account, beta request, authorization, entitlement, EULA acceptance, registered-device, administration and security records may persist separately while needed for access, security, support or legal requirements. No arbitrary retention period is promised. Authorized administrators can revoke access and registered devices; users may clear temporary incident content by restarting or leaving the session.
Security
D&S Portfolio Group Inc. uses reasonable administrative and technical safeguards appropriate to the implemented service, including controlled access and authorization checks. No internet service or device environment can guarantee absolute security.
Privacy Rights
Where legally applicable, a person may request access, correction, deletion, a copy or portability, applicable opt-out rights, and follow-up or appeal. Use the existing PRAEVIS contact channel through Media or the verified PRAEVIS LinkedIn contact. Requests may require identity verification.
Updates
This notice may be updated when implemented data practices change. The displayed Last Updated date identifies the current version.
